Message for You

Dear Angela and Theodore,

We are writing to provide you with additional information about your breakout session for the upcoming VALE Users'/NJLA CUS/NJ ACRL Conference on Friday, January 9, 2009, at the Busch Campus Center, Rutgers University, Piscataway.

Your 50-minute session, "Our Voices, Our Stories, Ourselves: Encouraging Undergraduates (and Faculty) to Use Primary Sources," is scheduled to be held from 1:30 to 2:20 pm in Room 174. Your session proposal included a request for the following equipment:

* Internet access

and this will be provided in the room, along with a data projector and screen. Please note that the data projectors are designed for direct connections to PC machines. If you bring a Mac notebook machine to connect to a data projector, please make sure to bring your adaptor; Rutgers does not have these on hand.

As of the closing of conference registration, 26 people have registered to attend your session.

Subject to the availability of equipment/staffing, and with your permission, we are currently planning on documenting the conference sessions by videotaping them and making them available in digital video format through the NJVid Commons statewide video portal and repository [ http://www.wpunj.edu/njvid/ ]. As the session presenter(s), you are the primary rights holder of the intellectual property contributed to the video. We will therefore need to obtain your permission in writing to make a video of your session available online. Please see below a copy of the nonexclusive license form we will ask you to sign. Please note that we will be seeking your agreement only to streaming and attribution for the video (not downloading). The document is for your information only. We will provide the form for you to sign on the day of the conference. If you have questions about this prior to the conference, please do not hesitate to contact us.

In addition to video, we also plan to make available after the conference session notes taken by your recorder, along with any presentation slides or handouts you may be using in your session. These will be posted to the VALE blog [located at http://valenews.wordpress.com/ ], where you can see examples from last year's conference. If possible, please submit any presentation materials by email to Richard Kearney (kearneyr@wpunj.edu) prior to the conference. If this is not possible, please bring the materials with you on a flash drive the day of the conference.

When you arrive on the day of the conference, please check in at the registration table to pick up your name tag and identify yourself to the registration table staff as a presenter so that we may provide you with a copy of the nonexclusive license form for video permissions and, if needed, a Rutgers guest account username and password for logging into the wireless network. If you have presentation materials for your session that you did not submit in advance, we will also ask for copies at that time. It will be most convenient to copy these from a flash drive.

Transportation Information:

* For Attendees Arriving By Car: For driving directions to the Busch Campus Center, see this link: http://maps.rutgers.edu/building.aspx?id=44

* Busch Campus Parking: Parking passes will not be required this year. Attendees may park in lots 51 and 67 with no permit.

* For Attendees Arriving By Train: Rutgers shuttle buses will be running on a weekend schedule during semester break. The A (direct to Busch Campus) and L (via Livingston Campus) buses will have stops at the New Brunswick train station. The winter bus schedule will be posted on the Rutgers Transportation Services website in mid December and a staff person will be available @ 732-932-4833 to answer calls on actual arrival & departure times. http://parktran.rutgers.edu/campusbuses.shtml#brs

* Weather Cancellation: Busch Campus closing cancels the conference. Rutgers puts an announcement about ANY campus closing on its web site. They also make announcements on the radio. Please make sure you have the information from this web site available to you at at home if you think cancellation due to weather is likely.
